Administrator guide

Members, roles, invitations, project access, audit log and settings.

Who can administer

Completed

Only organisation administrators can open Administration. Roles are: Organisation admin, Executive, Project manager, Team member and Viewer. Nobody can grant a role above their own authority, and the last organisation admin can never be removed or demoted.

Invitations

Completed

Invite someone by email address with a role. The invitation is waiting for them when they sign in with that same address, where they can accept or decline it. You can revoke a pending invitation at any time. Invitations expire after 14 days.

Invitation emails

Unavailable

Project Steward does not send emails. Tell the person to sign in with the invited address.

Archiving or deleting an organisation

Completed

Any administrator can archive an organisation from Administration → Archive & delete. The page lists what is inside and you must type the organisation's exact name. Archiving hides the organisation and freezes everything in it for every member, including you; nothing is deleted and any administrator can restore it from the Workspace.

Every organisation has one owner (the creator, unless ownership has been transferred). Only the owner can delete it permanently, download its export, transfer ownership or change the cooling-off period. The owner cannot be removed or demoted until ownership is transferred to another administrator.

Permanent deletion is a separate step, offered only for an archived organisation, and only after the cooling-off period (72 hours by default; the owner can set 24 hours to 30 days before archiving, and it cannot be shortened once archived). It also needs a recent password confirmation (within 10 minutes), the typed name and an explicit acknowledgement that it cannot be undone. Repeating a request is safe. It deletes every project and record inside; the audit trail is kept and a permanent record of the deletion is stored.

Before deleting, download the export: a JSON file with the organisation's projects, records, members, approvals and full audit trail. Private chat conversations and personal drafts are not included, only their counts.

Roles and removal

Completed

Change a member's role or remove them from Members. Removing a member also removes their access to every project in the organisation. Both actions are recorded in the audit log.

Project access

Completed

Control who can see and edit each project, and whether they are a project manager, team member or viewer on it.

Audit log

Completed

A read-only, tamper-resistant history of invitations, role changes, access changes, removals, approvals, executions and record changes. It stores which fields changed, never their values. Entries cannot be edited or deleted by anyone.
